E-Portfolio Student’s Name College E-portfolio Introduction My Professional Themed Photo My name is Abdul Ahmed. I have just completed my Diploma in Human Resource Management from Edith Cowan University where I obtained an overall Distinction grade. I have undergone through the twenty eight modules covered in the course. Before completion of my course, I went for an attachment at Baldore Company for two months where I added my academic qualifications with hands on experience. I worked in the human resource officer’s office which is busy as the company has a big number of employees. As an employee of that company I worked with a variety of departments. The departmental heads and line managers were not close with each other thus; the company’s operations were inefficient. In this case, I advised the line managers and the departmental heads to work together to ensure smooth running of the company. As a result of agreeing to work together, even the junior employees also began working as a team. The gap between departments, junior and senior employees was broken. At the University, I was elected the leader of the Business Club after elections during my final year. My club involved in business activities and emerged the best performing club overall this year. One of our greatest achievements was advising the school’s management on handling grievances as well as implementing disciplinary processes. I managed to bring together members of our club thus; we attained all goals that were set up by the club members. Actually, a number of purposes exist in my skills portfolio. First and foremost, the skills portfolio would hone my communication skills which would be imperative in landing on my dream job. Thus, the skills would facilitate a good working relationship with my colleagues. Further, the skills would assist me in relating well with the general public. Second, the skills would enable me to use modern technology in the daily operations both at work and home. In this regard, I would be able to perform both simple and complex calculations electronically. Additionally, the technological skills would help me in conducting research, interpreting, retrieving and evaluating useful information. My chosen field of Human Resources advises, develops and institutes policies regarding effective utilization of personnel in a firm. Human Resources officers’ aims are making sure that the firm employs the precise staff balance in terms of experience and skills. Additionally, they also ensure that training together with development chances get availed to workers to improve their performance and attain the aims of the employer’s company. I would like to be employed by the biggest oil company in the country as it has a huge number of employees and activities. The sorts of positions available in this field are found both in the public and private sectors. They include senior, middle and junior level human resource officers. My Six Employability Skill Behaviours My first employability skill is analysing data and using technology explained in the following headings: Numeracy Skill Situation I would be capable of using numeracy behaviour skills in my job. In this scenario, I would be capable of interpreting and using numeric data in a wise manner. Task I would be ensuring that I interpret metrics and data and produce accurate statistical results at all times. Additionally, I would also involve the utilisation of mathematical techniques and algorithms that would permit the invention of correlations and patterns in huge amounts of data, collected within databases. Reaction When I would use such correlations or patterns in identification or representing people, they would be referred as profiles. In this scenario, the profiling notion would not only concern profile construction, but also include the group’s profiles application to persons, for instance, in the events of price discrimination, credit scoring, and security risks identification. On the other hand, I would be prepared and interested in experimenting. As such, I would ensure application of doctrines of scientific testing to the organisation. On the other hand, I would be capable of making intelligent theories. Thus, I would employ doctrines of experimental design and testing, consisting of population sampling and selection, for the purposes of assessing the data validity analyses. As an instance when I was on attachment, I counted the number of employees in all departments and asked them how they felt on departmental heads’ relationship. The answers were either good or bad. Finally, I plotted a graph of feeling good against feeling bad and stored it in the HR’s officer computer. As I could not recall the answer in figures, I could retrieve and confirm the exact findings from the computer. Result I would be capable of seeing the huge data picture. As such, I would ensure competency in interpreting, managing, evaluating and finding data, comprising of not only figures, but also images and texts. I would also ensure fully understanding of available data and make use of data visualization systems in interpreting and processing data. Technology Situation I would embrace technology behaviour skills in my workplace. As a matter of fact, I would ensure proper usage of the software programs that I am acquainted with. Task I would use Microsoft word when making communications through writing to any of the employees. An instance of when I used Microsoft Word was when I was the leader of our Business club at the university in telling the members of an available meeting. In this scenario, I would type the information in Microsoft Word, print it and hand over the hard copy to the club members. Similarly, I would check the monthly presence of employees using Microsoft Excel. In this case, I would mark the days the members would be present in a month. Reaction I would also use Microsoft Excel in preparation for the monthly salaries of employees in the organisation. Furthermore, I would use Microsoft PowerPoint in producing the company’s presentations. Last and not least, I would use Microsoft Access for storing information for analysis, reporting and reference. Result I would be able to analyze huge volumes of data while managing related information more effectively. In this regard, I would be capable of experiencing fewer inconsistencies and errors. Furthermore, Access would ensure safety as well as control. Actually, Ms Access would possess the capability of encryption and password protection of the database files. Information Management Situation I would employ information management behaviour skill at my workplace. In this case, I would ensure retrieval of any information that would have been stored in the computer at any moment. Task I would use the right words when looking for the information that was saved sometimes back in the computer. After retrieving the required information, I would hence interpret it according to how the data stipulates. For the available graphs, I would be capable of explaining the figures used in the graph and interpret available data appropriately. Importantly, I would be capable of making comparisons between the figures provided in the graphs. On the other hand, I would be able be capable of plotting graphs from the data derived from the computer. An example of plotting graphs from available data is when I was at the University. In this case, I could research a human resource assignment from the internet and books on the pay rate of different companies to their employees. Using the data derived from credible sources, I could plot graphs showing the pay rates of different companies. On the contrary, I could also produce a document using the available graphs from books or internet. Reaction As a human resource professional, I would be using email messages appropriately in my daily work. In this case, I would reply messages sent to me through email on behalf of the company. On the other hand, I would send email messages to appropriate companies on behalf of my company. I would also ensure information would reach the right persons at the right time. I would ensure completeness of the sent information to avoid misunderstandings and misinterpretations. In case the sent message gets lost or misunderstood by the receiver, I would make sure that the receiver gets the intended message accurately. Result I would always ensure completion of set goals on time. This would be possible by managing time well and informing all the parties involved of the plan. I would use the data retrieved from the computer in making the necessary changes and improvements in the organisation. For instance, I would promote long serving employees and add their salaries if that had not happened recently. However, that would be dependent on their work performance and academic qualifications. Similarly, I would introduce in-job training for the employees if the data shows that there has never been such a thing before. This would be necessary for making employees improve their performance at work. Performance evaluation would also be used to test whether the in-job trainings are beneficial to the organisation or not. My other employability skill that I would use when employed would be communicating effectively as explained under the following headings. Verbal Communication Situation I would employ verbal communication skill behaviour at my workplace. In this scenario, I would be employing various techniques to ensure understanding of the message. Task My first technique would be speaking clearly (Prentice Hall India Pvt., Limited, 2004). Thus, I would be trying effortlessly to convey one message at a time. This would ensure understanding of the messages I would be sending to my receivers. For example, at the university, during group discussions, I used to speak clearly when making presentations to ensure everybody understood what I was saying. Secondly, I would be using the appropriate language to all my audience (Prentice Hall India Pvt., Limited, 2004). In this case, I would avoid using complex words that would not be understandable or confuse my audience. The other technique I would be using would be opening my mouth widely to ensure that I would not be mumbling. The other technique I would be using would be controlling my speed, tone and pitch. In this case, I would not be speaking too quietly, too loudly, too slowly, very high pitched or too quickly to avoid being a barrier myself to effective verbal communication. The other technique I would employ would be using the proper non-verbal signs (Prentice Hall India Pvt., Limited, 2004). In this scenario, when sending happy messages, I would be smiling. Thus, I would ensure my body language matches my audience. When conveying interest, I would be nodding. The other technique that I would use would be listening to what others would have to say (Prentice Hall India Pvt., Limited, 2004). In this case, I would be ensuring that I take my time to listen to the others before making any judgement or comment. Reaction In all my verbal communications with clients and employees, I would ensure my body language would be corresponding to my audience. For example, I would move hands, nod head and move in various positions when making my points. Result I would use effective verbal communication techniques when dealing with clients and other employees at work. In this case, I would be ensuring that what I point out would be clearly heard and understood. I would be allowing myself time to listen to what anyone would be saying to avoid interruptions. Public Speaking Situation I would be using public speaking at my workplace. In this case, I would ensure language appropriateness when addressing my audience (Prentice Hall India Pvt., Limited, 2004). Task I would make sure that the language that I would be using in speeches would be fitting with my personal pattern of speaking. I would be using simple language that would create meaning to the audience without leaving them confused and misunderstood. I would also ensure that my language would be suitable for the circumstance. Reaction When speaking in a business meeting, for instance, I would ensure usage of understandable language as there would be a mixture of people. I would also ensure using vivid language (Prentice Hall India Pvt., Limited, 2004). Actually, vivid language would assist my audience to create clear, distinct, strong and unforgettable mental imagery. Additionally, my audience would be capable of understanding and imagining what I would be trying to say. I would also ensure using concrete language (Prentice Hall India Pvt., Limited, 2004). In this case, my audience would be able to see actual instances or particular realities rather than abstract ideas and theories. Result I would be using effective public speaking, for instance, when telling employees on how to achieve the set goals in an organisation. In this case, I would use specific examples, like, how the stores department formed a team last year for arranging the products accurately for the purposes of eradicating obsolescence goods. Old stock got used up first, and the company saved a huge amount of money. As a result, good arrangement has increased efficiency in the stores department from that moment. Written Communication Situation I would employ communication behaviour at my workplace. In this case, I would use both printed and handwritten papers when necessary. Task For example, when at the university, I would write my exams using my own hands on papers that were presented by the institution. On the other hand, during my attachment at the Baldore Company, I used the firm’s computer in recording how the employees reported to work daily using Ms Excel. Additionally, I also wrote letters to all employees of the company informing them of a salary increment with arrears where each and every employee understood well. Reaction Written communication can be attributed by the final paper that I scored an A where I used my hands in answering the questions given. In this case, I would answer all the examination questions in a clear and professional manner. Result My communication at the workplace would entail both printed and handwritten communication. For instance, I would be using written communication in hard copies to invite employees for a scheduled meeting. Self-awareness Reflections The skill of my self-awareness would be demonstrated through my ability to self-reflect on the behaviours of meta-cognition and career management. My first reflection on skill behaviour would be meta-cognition. In this scenario, for example, I would use the past knowledge to achieve my present and future goals. Thus, at my workplace, I would form a team that would achieve my set goals for the success of the company, like, the goals that I set at the university that made me pass my exams. I would first ensure an understanding of the goals then inform my team members. Then I would identify the obstacles that would be present in realising those goals. I would look at the resources available for meeting the set goals. To make the set goals a success, I would use my knowledge gained both at school and in the community to achieve them. In this case, I would also welcome help from both my senior and junior colleagues on achievement of the set goals. After beginning working on the set goals, I would start recording and reporting the progress of the ongoing work. I would also begin reviewing and updating successful techniques that would be making the goals achievable. Development of the new strategies would be my next priority in order to achieve the set goals. In this case, any hardship that would be encountered in the achievement of the goal would be thoroughly addressed. I would demonstrate to the employees on the better ways of performing a task to achieve the goals. My first strengths in achieving the set goals at my workplace would be producing quality results at the completion of the project. My other strength would be planning the set goals to be achieved in a timely manner. My other strength would be providing a good environment for the employees to feel part and parcel of the organisation, while instilling a sense of unity among them. My first weakness would be in achieving long term goals with a very short time. In this case, there would be difficulties in making the employees understand how they would be expected to perform. My other weakness would be trying to explain a point to the employees who do not understand the national official language. The other self-awareness skill would be career management. In this case, I would add my academic qualifications through joining extra-curricular activities. For instance, I plan to set up a voluntary club of youths below the age of thirty years where we would be visiting the sick, disabled and old people on weekly basis. The club would require some money for buying things to give people being visited. We would ask our governor to assist us with funds to add the ones we would have contributed. Additionally, we would look for government grants to boost our mission. Members of the club would only be required to have attained the age of majority to be eligible. After getting enough funds, our club would organise to buy a small second hand vehicle for carrying the members during their visits. The voluntary club would not eliminate anybody on the grounds of tribe, sex, race, religion, nationality or political affiliations.
