Therefore, for the manager to ensure that the business activities flows smoothly, proper plans must be laid down. This article presents a report on the business plans that are set out to improve the kid swimming pool at Jeddah in Saudi Arabia. The paper contains an introduction, body and then the conclusion. Also, the paper contains some diagrams that assist in the illustrations. 1. Introduction 1.1. Introduction and background Kid swimming pool in Jeddah City was found in nineteenth century. At the start, the management of the pool was fine, but offer the time, it has been seen to decline. This report is a supporting document to the bank for the application of a loan of up to $100,000 aimed at the renovation of the pool and upgrading its operation from the old manual form to a new computerized system (Brady, 2008). 1.2. Aim of the Report The management is still using the manual system to run the business activities. There is also inadequate recreation facilities like swimming pools (Stern.nyu.edu, 2015). As a result of that, this article is a supporting document for the application of bank loan. The reports state the plans that are to be put into considerations so as to improve the operation. This includes acquiring new information and technology (ICT) system, develop more pools within the city, improving the facility around among many other improvements (Kendrick, 2010). Therefore, this report is to be presented to the bank to apply for the loan. 2. Business Overview including SCM Diagram The business is a swimming pool for the kids. Initiation, the business was established in 1980. The centre has swimming pool for kids. It also provides other play grounds like for hide and seek. At the moment, the business still operates on the manual system with the only computer used being the cash register. The registrations of the kids to the swimming pool is done with pen and paper. The current business facilities are old and less to accommodate the total visitors. The business have an unnecessarily large number of employees due to the manual system being used (Open.edu, 2015). At the moment, the business lacks a website, and the only depended form of advertisement is through the word-of-mouth, television and newspapers. Inventory and business sales are tracked on papers. Moreover, the employees’ payrolls are also traced on the paper (Palethorpe, 2011). 2.1 Our mission As a recreation centre, we aim at providing the best services to our kids within a health environment that is certificatory to both the kids and their parents. Best quality facilities, serves and communication with our customers is our main strength. 2.2 Our goals Proving the best quality services to our customers To provide privacy and security to both our customers and their properties by hiring highly trained security personnel. To improve on the administration of the business centre for both the staff Government regulators and parents by inventing the application of new technology. To create a social centre where our kids can meet, mingle and exchange experiences to develop self-esteem and identify their talents. To develop programs that will assist children to value and appreciate their parents love and care. To add more play facilities like the climbing walls, hide and seek, adventure cave rides, jumping castle, physical activities, computer games and many others. 2.3 Our Objectives To employ the use of new information system to communicate with the staffs and between the staff and the customers To ensure maximum security to the customers by ensuring that all our security personnel are highly trained and committed to their work To ensure that we provides high hygienic environment to our kids to avoid health complications To make sure that our staff members are committed to their work and provides qualified services to our customers in a more friendly way Diagram 1. As the manager of the business, you need to identify every important business processes that have impacts on the business and improve on them. This business focusses on the communication, registration and payment systems (Brady, 2008). Lack of proper communication system between the staff and the customers has a led reduction in the total number of the customers. As well as that, the use of manual registration system causes a lot of delay for customers to clear before they can enjoy the facilities around. Lastly, manual payment system has resulted in many complications of the financial reports thus resulting in the loss of a large amount of business money (Brady, 2008). By implementation of the new project, the business efficiency is going to improve. First, the introduction of the online registration will reduce on time wasting (Cadle et al., 2014). Also, online will increase the communications between the customers and the business staff (for example inquiries from customers). This will promote marketing that will result in a rise in the number of clients (Kendrick, 2010). Finally, the use of computer databases to store the payment records will help to reduce the cash lose since the business accountant will not be dealing with money. Moreover, there will be data security as there are fewer chances of losing data stored in the computers than the one on papers (Brady, 2008). One of the major processes that are a feature of the business is the registration of the customers. The process involves the customer traveling to the business centre. The customer has to queue depending on the available clients. Seek space for the time he or she requires. If available, will fill the form to give the required details after which will move to the finance sector to pay before he or she can be enrolled (Brady, 2008). Mangere Diagram 3. Business Analysis Team To develop the new information system, the business will require the following group of peoples: management team, accountants, computer engineers, marketing group and the manual labour. The management team will be in charge of coordinating the whole process and ensuring that every rule and regulation is observed. The accountant will be responsible of ensuring tax compliance and fund management. Under the computer, engineers should involve the software engineers (programmers) who will be in charge of developing the registration system and creates the databases. Also, should include network engineers who will assist in developing a local area network that will enable sharing of information within the business. Finally, they should include web designers to help in the development of the business website (Cadle et al., 2014). The marketing group will help the web developer in the design of the business website. The main aim of the website is to aid in advertisement of the business, thus the marketing group will assist the developer with the marketing strategies; so as to know what to include on the site and what to not include (Brady, 2008). Finally, the manual team will be required. This group will help in the ground implementation of the new system. For example, electricians that will assist in the installation of power cables in different departments. Besides, the technicians who will need to set up the computers in the business departments. Information system development requires experts. (Cadle et al., 2014)Therefore, the business decides to hire skilled labour to be used in the development rather than the initial employees in the business who lacks the information technology knowledge. 5. Business Analysis Team ICT (Information and Communication Technology) For efficient communication among the development team, they should come up with a committee of officials that will coordinate and monitor the whole process. The committee should have access to every party progress. They will have an official mobile phone number that should be known by every individual involved in the development project. Besides, they will also have an official email that the development team will be delivering on their daily progress for assessment. Moreover, the team will have a central working place so that the monitoring team should be able to reach every department will a lot of easy to check on their progress. 6. The New DPM ICT The new business will apply some information and communication technologies to improve on its operation. First, there will be online registration to reduce on the queuing of the customers at arrival time. Besides, there will be the use of mail to communicate to customers after successful registration or to inform them if the requested time the facilities are fully occupied. In additions, the business staff will have a computer database that they will use to store every customer details and be able to retrieve them quickly when reference is needed (Greenhagen, DPM, Wipf, DPM, Johnson, DPM, Nelson, DPM & Bevilacqua, DPM, 2010). Finally, their staff will also employ the use of printers to enable automatic printing of the customer’s tickets after successful registration. See the DPM diagram bellow Diagram 3. Database enable the users to input, manipulate, store and even retrieve the business data and information. The use of the database will assist the organization user like the staff and manager store, access and retrieve information required easily. Thus the following information will be required by the uses. 7.1 Manager Develop staff payrolls Be able to control and administer the use of information system Access, manipulate and save customer information Save receipts Be able to order and pay for supplies Organizing for meetings and saving the information Keeping records of purchase, contracts and budgets. 7.2 Accounting Be able to act on invoices Be able to view the billing and cash transaction Be able to access and monitor mails Know how to print like the invoices and customer tickets Make business expenses Manage financial information Make of payrolls Be able to develop financial reports like the loss and profit statements. 7.3 The IT team Able to handle both computer software and hardware Able to install IT securities Able to handle any computer information system Able to handle hardware connections Able to develop computer software Know marketing strategy Be able to create website Able to integrate the different departments system into one Have emailing knowledge Dealing with logos and video 7.4 The benefit of using database Data base use gives more advantages in relation to the manual system. It saves time when retrieving information as you will just search by the primary key. Furthermore, the give only the selected data thus being easy to analyse it. Database also stores the data safely as you can create online backup in case of computer crash. With database, it is easy so select the required information and share out (Saeed, Grover, Kettinger & Guha, 2011). 8. Project plan As will be seen in the project plan excel file, this project plan aims at assisting in the management of the project. The whole project indents to take a maximum period of one month. The project plans to begin with the purchasing of the hardware (which will include the computers, connection cables, routers, hubs, and switches among many others). Thereafter, there will be purchases of the software (this will involve the operating system, computer application software, programming developers, internet protocol address, domain and hosting packages among others) (Cops.usdoj.gov, 2015). The provided excel, the plan gives out the breakdown of how this project should be carried out. It gives out the expected start date and the durations that every project is supposed to take. This will assist as a reminder to ensure that everything happens as expected. At the end of every day, the management will use the plan to assess if the project is going as planned. In case it is found that something has not been done as per the plan, the management will be able to detect immediately and will be able to find out the solution before it is not too late. Project Budget The process of developing the new projects requires around $100,000. This amount involves both the money required needed purchasing both the hardware and the software. The amount required networking, staff, training among other expenses (Dell.com, 2015). All the listed technologies are essential for the business staff. For example, hardware like computers is a need to be used as the primary device for storing data, displaying the data and act as the communication devices among others. The software like operating system is a need to enable the functioning of the computers (Weele, 2010). Networking is essential because of establishing communication system within the business staff and to an extend communication with the customers. Since the business has been operating on the manual system, staff training is necessary to educate them on how to use the new system. This expenses among others that that will be incurred in the project plan has been braked down in the project plan excel file attached (Tsotsas & Mujumdar, 2011). 10. Conclusion Recreation is seen increasing day by day. As a business, proper management is a need for proper running. The current state of the kid swimming centre in Jeddah need to be updated. This report provides the current situation of the business and its future plans. The report contains the DPM diagrams of the business. The business is planning to migrate from the manual system to a computer system (Stern.nyu.edu, 2015). The project plans are stated, and even excel file are also provided for support. In addition, the budget plan for the new projects is supplied with the addition of excel files.
