Introduction The supply chain that was traditionally used in selling the commodity from the producers to the consumers has also been shortened. The intermediaries have been cut off. The producer and the supplier can nowadays communicate directly unlike the traditional way of buying and selling. Through the internet, the consumer can access the products of various companies. It is also possible that the consumer can buy the products directly from the producers online. Availability of online credit cards and online cash has enabled online buying or payment possible. Task one Due to E-marketing, traditionally there was a long process that had to be followed before getting a product. E marketing have also shortened the transaction process. This in turn has lowered the cost of transaction. The process that was to be followed was long, that is from suppliers to manufacturers to distributors to Retail outlets and later to the consumers. The market information is also highly available. Producers can find information concerning the consumers without many problems. They can be able to tell the areas that their products are consumed most. The consumers on the other hand can get the information concerning the products on the internet. This is very important as the customers can be able to select the type of the products they want and make an order. The management of an organization should decide on the information that should be included in marketing website. The information concerning the decision should be gathered from the management, the users of the system that is the consumers should be involved in the decision on what should be included in the website. This will enable the developer to capture all the details and develop a website that will satisfy both the management of the company and the users who are the consumers (Horne & Wachowicz, 2008). This type can be applied to WH University in students’ recruitment. The university can create a website where the students get information concerning the college. This has to be planned well so that only the necessary information can be made available. The decision on the information that should be made available about the institution is done by the management of the institution. The information should be as precise as possible but should also be informational so that the aspiring students can get enough information about the university. The university can create a web page whereby the students will log into it and do application. The students can be able to view the information about the university and apply for the intake online. The information given by students should be enough to enable the university to do a fair selection. This information can be got from students by providing a form for them to fill so that they may not omit the necessary information about them. The forms that were not filled well may be returned to the students so that they can refill the forms. This will be very helpful for the students as well as the management. The students will not have to travel to the university to do application. In the traditional way, the students had to go to the university to do application. This will cut the cost of traveling as well as the time spent in going to the university. This will encourage the students to apply the university. It will increase the market of the university. It will also fasten the process of admission as all forms will be viewed online. The registrar will not have to look at the forms manually. Unlike the traditional, the students’ information can be kept for future references. This can be very helpful to the university. This information may include the students email address, phone number, the course they are taking and the parent’s details. This information can be useful when the student is within the university or even outside (Krugman & Wells, 2009). Task two Universities and colleges usually admit students who meet their admission criteria several times in an academic calendar. These students come from different places with different cultures, languages and nationalities. They are also of different ages and gender. Some are with physical challenges others are healthy. They enroll in different courses and attend different classes while residing in different halls of residence. On admission, personal data must be captured to enable the admitting institution to understand the student’s background, financial situation and special needs. Armed with this information, the institution is able to track down the progress of a particular student from admission up to the last day. There is also a need to have an integrated student information management system which various organs of the institution, the students themselves as well as the government can access on a regular basis (Johnsons, 2008). A good student information system must capture the following items about a student: a student’s name, admission number, gender, religion, home address and contacts, date and place of birth, nationality, marital status, national identity number or passport number for the international students, street name, and house number, county. The students should also give information to guide the institution to determine the student’s financial obligation. Such information includes the guardian’s/sponsors profession or occupation and the expected annual gross income. Students also give information about responsible people who can be contacted incase of an emergency. The information should include their contacts, there marital status, and their fax number. In addition to that, he/she should indicate the area of interest in co curricular activities and the area in which they are good at. It is also important that the student give information about the health status at the time of admission. This will enable medical attention accorded by the university to follow previous medical attention and diagnosis to avoid complications. All this information can be captured using a computer based application and a central database established. During admission students are requested to fill out forms which the above information is filled out. Then it is fed to the computerized system or the database. Once gathered the university is able to analyze the information that each student provides. A student’s progress can then be updated periodically and advised on areas needing improvement or even changing modules to suit the capabilities of the student in question. This will create a history of the student’s life before and during campus life. In case a student terminates studies for whatever reasons he or she can be traced and be helped to resolve the problems which led to that. If the university can provide financial support, the basic information on as student is already available. If it is medical issues that disturb the student then a medical history is used to trace a certain disease and how it was handled previously. Let us take for example a male student who is a foreigner loses his family in a major earthquake. He is faced with an enormous task to grief the loss of family, financial problems as regards to his fees and upkeep. Because the university has full information about him, he is sought in his room, counseled and his fees waived. His class work is closely monitored by his faculty dean over the next semester and advised on how to best improve the grades in the subjects that he performs dismally. All these developments are stored in the university’s information management system. Student retention and progression is an integral concern of any university. However to manage this, a university has to develop and run a versatile information system which is available to both students, teaching and non teaching staff. This enables the entire community to be self conscious and the members to understand each other better. Since information changes on a regular basis, the system must be flexible enough to allow updates and be available to the specific groups of the university like the lectures, the students and the hall managers. These groups require different information. It should be noted that the information available to each group is restricted. Task three The electronic marketing communication is that will be used is the one which will link all the communications in the institution. There is need for the communication tools being utilized such as the electronic promotion of the various courses in the institution. The institution need to be in the reach to come um with the measures which will be used to market the courses of the institution. Providing the link of all the communications in the institution will boost the abilities of the schools effectiveness in the marketing. The link which combines all the marketing mix is very important since there will be centralized information which will increase the abilities to improve the quality work of the students. Meeting the demands of the students is very necessary and also reaching out to the many potential students also is necessary (Mankiw, 2008). There is need for the creations of the financial assistance program which will increase the students desire to join the university. There is need for the students also to be maintained in the institution over a long period of time till they accomplish their academic dreams. This should be attained by linking all the programs which a student wants to pursue such that the undergraduates will move to the next level of their desires or in line with their professional needs without any hindrances. The main issue here is to sensitize the availability of the courses and the quality management of the entire courses in the institution. The courses teachers also need to be made available to the task of teaching the students in the most desirable way such that the quality they deliver is up to the students’ standards. The marketing which need to be made is the one which relates to the lectures qualifications and their proficiency in the respective areas of teaching. The school management also needs to market the various respective notes which offer proactive techniques in the various fields of studies. The details will actually attracts many students to the respective fields which will eventually increase the access of the institutions abilities to meet the various details of the current students and the potential students. The details in the marketing plan are such that the administration is involved in the tasks they are executing. This will increase their abilities to get more relevant information for their academic resources (Correia & Flynn, 2007). The library also should be electronic. This means that is should be accessed by the students from wherever they are without any restrictions on how to equip themselves on the various questions and task in their respective departments. The institution also should have the details of the requirement of the electronic library which will enable the students read comfortably. This includes the lectures posting their notes online for the students to access them and read. This is a marketing plan which will attract many students to be part of the success in the university. The marketing strategies which are to be used are those one which also brings the students needs to the point of knowledge satisfaction. This should be included in the electronic media so as to make them aware of them. The students grades should be the point of focus in this marketing strategy which will enable them work tirelessly on them by utilizing the available resources. The electronic marketing also should ensure that there is enough information which the students require to boost their grades. The students should be made aware of the changes which have been made on the university especially to their departments. The implementation of the marketing strategy is very important since there are various benefits to the university and to the students’ fraternity. There should be strategy analysis of the market. This includes the survey of the various competitors in the various field and the policies which should be made are those which are aimed to overcome. There should be clear vision of the institution as to the academic improvement and the increase in the services which are being delivered to the students. The strategies should be well formulated so as to give an in-depth extent of their access and penetration to the speculated market. There should be in-depth prioritization of all the operations which are being done online so as to reap the best out of it. There is need to implement the university’s strategies so as to ensure the attainment of the objectives. There is need for the university to have their website launched ones again with clear objectives of the institutions and the strategies which have been set again. The campaigns also should be done so as to ensure that the institutions message reaches many people. The website should be monitored periodically at all the activities which are being made. The website content is very necessary and should meet the university’s objectives as per the formulated strategies. Task 4 The university can keep the students information like the home address, phone number, email address, parents’ information and the course each student is taking. This information can be made available in the university database. The students can use this information in communicating among themselves in the campus and also outside the university. The information like the email address can be helpful when the student is still at the campus, they can use this information to forward lecturer’s notes among themselves. This is a cheaper and time saving way of exchanging notes. It is also fast as one does not have to go to another student’s place to get the note. They can as well use email addresses in exchanging the good note that they got, discussing different class work activities this will improve their understanding of the subject. The students find this method good as they will be able to get the notes even when they fail to attend the class. The e mail address can also be used by the lecturer in forwarding the notes to the students. The administration can as well forward the students’ records like the fee statement to each student via the email. This enables the students to get their statements in time hence enabling them pay their school fees on time. The students can as well use the email address in socializing among themselves. Social live is very important to every student. Through their emails, they can chat which will enable them get to know one another well. E mail address will enable one to do research well. The students can motivate themselves through the email. They can share a lot through the email. When one student has a problem, others can help him or her encouraging him to be strong (Brigham & Daves, 2010). Outside the campus, students can communicate through the email. They can be forwarding job vacancies to themselves. They can also be sharing about their social lives whenever they are. An example of this is Facebook; the students can chat in real time. Phone number is another thing that is captured by the university during admission. The students can notify themselves about the classes through the phone. When the lecturer cancels class the students can alert themselves through the phone. When there is a makeup class the students can notify one another through the phone. The students can also use the phone to discuss an assignment that they have been given by their lecturer. When outside the campus the students can use the phones to inform one another on the job vacancies. They can also get to know how the other one is doing through the phone. Home address is important information that is captured by the university. They can use this address to communicate to students when they are in vacation. Home address can be helpful to students when there is an emergency, the other students can contact the home of a student. There are also instances where colleagues or the university can lose immediate contact details. Even if a student has changed residences a last known address is helpful to retrace the new address. The postal address comes in handy in this type of situation. Sometimes the university wants to send physical documents like certificates or parcels which electronic means cannot send. When the students are outside the university, they may send each other’s recent pictures through the home address. The parent’s information is also captured during admission. This information can be used when there is an emergency. The parents can be called when then a student falls sick. The parents’ information can also be used to trace a student in school. The parents can also be called to school by the management when a student does something wrong. The school may loss the student’s information and the parents’ information can be used to trace the student. However the university should keep the students information as private as possible unless authorized by the student to expose it. Other students may use this information to harm another one thus the school should ensure that the information is kept as private as possible (Aaker, 1993). Conclusion and recommendation E marketing system has cut the supply off the intermediary. This in turn has shortened the time period in which the commodities can reach the consumers. This system can also be applied in schools in admission of student. The communication has also improved due to the improvement of technology. Communication nowadays can be done through email and phones which are more efficient than the traditional way of communication.
