Values of the organisation: To provide superior products that satisfies the customers’ needs and offer lasting value. To create products that spread out the human capability; thus, freeing people from overworking and assisting them achieve more than they can singlehandedly. How the employees should assist in reaching those organisational goals By setting specific objectives and plans to achieve them Creating a step-by-step plan that would help in realising the set objectives Familiarising with basic personnel information What you expect from all new employees To achieve organisational and career goals To become creative and productive To understand organisational policies and procedures What they are entitled to do and what they should not do Employees are entitled to supportive work environment, which promotes risk-taking Annual leave and public holidays Protection from unfair dismissal Employees are not expected to ignore warnings from their seniors and to do anything deemed unethical. How you will help them and assist them as a leader As a leader I will help the new employees by energising them by bringing positive energy in the workplace. I will put them first and act with integrity. TASK 2: Communications Strategy Given that the inherited team was dissatisfied with the previous Assistant Manager and the team members are from different cultural background, Jane should offer multimedia and voice options so as to make information available continually. It is imperative that the team members access all information they require at any time. All though the magnitude of her job can make Jane distracted, she should make sure all the recorded information are referenced later. Jan can utilize Voxer Pro to facilitate communication and record information for further reference. Jane should be clear, transparent as well as concise. Before answering the telephone, replying to an email or arranging for a meeting, Jane should make sure she understands the information. TASK 3: Training the team members appropriately: For the team to perform their job correctly they must be trained to make sure that they are equipped with the required skills. Rewarding regularly: the team member’ efforts should be recognised through monetary and non-monetary rewards. Fostering a collaboration culture: Team members should be compensated for collaborating rather than competing amongst themselves, bearing in mind that completing one another is more beneficial as compared to competing Setting realisable goals: setting big goals appear to be inspiring, but they are daunting to realise. Ensuring effective communication considering that communication between members of the team would help reduce frustration. TASK 4: Conducting a workplace inspection by utilizing a checklist Train workers by means of safety talks as well as other training media Introducing workplace inspection checklists that would be reviewed annually Informing employees how to record as well as report workplace injuries and incidents A Job Safety Analysis should be performed before developing safe working procedure. Creating communication channels where employees can report risks to injury in place of work. TASK 5: List Of Legislation, Regulations, Codes And Standards Fair Work Act 2009: Employers should take every reasonable step needed to notify workers of their right to a bargaining agent. Employees are entitled to notice of termination and parental leave. Anti-discrimination law: Employees should not be discriminated based on their age, race, sexuality, disability, and so forth. Work Health and Safety Act 2011: Offers a framework crucial for protecting the workers’ health, safety and welfare at workplace. Guidance To Jane: Jane should make sure that she observes the Fair Work Act 2009 by ensuring that she does not threatens any employee, dismiss employees without reasons, or discriminate the employees. Through the anti-discrimination law, Jane would be able to treat all employees equally and would avoid unlawful discrimination. Treating employees differently because of their age, race or sexuality can lead to unlawful discrimination. Through the WHS Act, Jane would be able to find innovative ways of protecting the employees’ welfare, safety and health; thus, reducing the number of risks at the workplace. TASK 6 Bring Proof: The team members can build trust if they see proof and understand that Jane will deliver clear as well as factual results. Be Accurate: Team members desire for process and structure; therefore, trust can be built by seeing a promise delivered and executed in a precise and timely manner. Engaging: The team members should be involved in everything associated with the team and this can be achieved by cultivating an open and collaborative way to work. The team members should be involved in real and results-oriented level in order to build confidence as well as trust. Communicating the Vision: Trust can be built if the team members are allowed to do something that is beneficial to the organisation, like showing them ways through which their opinion and ideas could be executed. TASK 7: Allowing the team to lead; Jane should give the team an opportunity to succeed by allowing all members to voice their opinions regarding the proposed changes. Speak Clearly: Jane should ensure that communication is succinct and clear in order to make sure that no team member is left feeling confused and disconnected. Increasing the Surface Area: For Jane to engage her team, she should be touchable. Investing time on the team; Jane should create time to know what is actually happening in the team dynamic and should be ready to advocate for team members whenever the issues arise. Too often, team leaders view their own position as a way-point to something bigger or better and fail to invest time or effort in developing the team around them. You may have had your own bad experiences when your team leader was disengaged. As team leader, you need to keep your focus on employees. TASK 8: List three resources/considerations Jane will need to take into account to ensure the new computer system can be implemented successfully. Some of the consideration that Jane should consider includes: Building consensus: Jane should build administrative, managerial and professional consensus around the company’s strategic vision (Cresswell, Bates, & Sheikh, 2013). Staff: Jane will need trained staffs that understand the system capabilities, which consequently could reduce system failure. System Maintenance: the system would need periodic upgrades and potential system changes. TASK 9: POSSIBLE RISKS RISK MANAGEMENT STRATEGY Lack of clear vision Taking time to examine the operations and processes in the business that could benefit from the new system. Selection of the wrong software Testing with stakeholders to ensure that the solution purchased meets the company’s needs and would not bring forth problems in the process. Customization The new system should be customised to determine security vulnerabilities and making sure that modifications made to the system are not outside the vendor’s offering since it can place the implementation process at risk Poor Planning Jane should make sure the necessary resources have been allocated to the project to reduce the likelihood of failure. TASK 10: For Jane to promote change successfully, she will need to use transformational style of leadership because they can easily encourage the group to work towards a change process. The transformational leader can trigger the process of organizational change by allowing for the transfer of learned things, knowledge and thoughts between the employees in the organization; thus, resulting in a learning organization culture. Transformational leaders can motivate as well as coordinate employees; thus, creating a suitable learning environment by stressing the significance of information, handling the information, initiating the change process, and setting clear objectives that would allow for successful change process. TASK 11: To effectively delegate, Jane should follow the following steps: Prepare: Taking time to map out exactly what is needed with regard to the delegated task. Assign: including clear information on context, budget, and timing as well as setting expectations for updates and communication. Confirm understanding: Making sure the team members understand by asking them to paraphrase the assignment or request in their own words. Confirm commitment: Ensuring team members are committed to the anticipated results. Ensure Accountability: Ensuring the team members communicate about the deliverable status and the delivery timing.
