The paper "Knowledge Management System Components " is a great example of management coursework. Knowledge is an acquaintance with facts, truths or principles as a form of study or investigation. It involves capturing, organizing and storing knowledge and experiences of individual workers and groups within an organization and making such information available to others in the organization (Mathis & Jackson, 2007) Knowledge management is a business strategy providing the right information to the right decision-maker at the right time thus creating conditions for new knowledge creation. Knowledge management allows for coordination to tap the unrealized potential for sharing and reuse that lies in an organization (Sumner, 2005).
It is best practice transfer and is more about processes rather than products, though products and technology enable processes to provide required tools for an effective knowledge management program (Torrington, Hall & Taylor, 2008). The knowledge management system is a system for managing knowledge in organizations to support creation, capture, storage and dissemination of information. It can comprise a part of a knowledge management initiative (Sumner, 2005). A knowledge management system enables an organization to have access to the organizations documented base of facts, sources of information and solutions, for example, a claim justifying the creation of knowledge management system in our case will be to help share any knowledge or information as pertains matters of recruitment in the organization and this reduces cases of unsuccessful recruitment, resistance to the recruitment process by managers and recruitment of unsuitable staff.
Sharing of this information organization-wide leads to more effective designs and lead to ideas for the improved knowledge management system (Mathis & Jackson, 2007). A proposal for the system of knowledge management system KMS components to help manage knowledge, in this case, will be document-based in that it permits creation, management and sharing of formatted documents which will be in form of distributed database.
The knowledge management system will address knowledge issues and needs (Torrington, Hall & Taylor, 2008). In this case, a knowledge management system will address the knowledge need in terms of the people involved that is human capital, social capital and corporate capital. Human capital is a great resource for an organization which is made up of an individual past, present and future.
Each individual has a unique set of characteristics and values which include expertise, education and experience (Sumner, 2005). In this case, a knowledge management system will be designed to help understand the expertise, experience and education a manager has in order to conduct or decide to contract the recruitment exercise of the 130 staff independently (Sumner, 2005). Again the knowledge management system will help the other managers understand the need for training their staff or recruits effectively and ensure proper selection method is administered to provide quality and reliable staff who meet the organization s specifications as pertains to their jobs (Mathis & Jackson, 2007). The knowledge management system will involve a systematic process of planning and growth by which managerial personnel will gain and apply knowledge, skills and attitudes and insights (Sumner, 2005).
This will help them manage their work in the organization effectively and efficiently and avoid cases of not auditing the skills and experience already available in the organization and skills required for the new policy program. How to manage the personnel effectively through proper planning, organizing directing controlling and coordinating all the human resource activities of an organization is a knowledge need which will be addressed by the knowledge management system through formulating an organizations strategy which will be stored in form of database hence help develop effective workforce (Mathis & Jackson, 2007).
The knowledge management system will actually address knowledge areas as pertains this case, on personnel management, strategic human resource planning and help improve the organization, in this case, attract and retain the number of people required with appropriate skills, expertise and competence, develop the well trained and flexible workforce, reduce dependants on external recruitment when key skills are in short supply by formulating retention as well as development strategies (Mathis & Jackson, 2007).
