WISEMAN SMITH Definition The following are definitions of terms, abbreviations and acronyms used in this document. Term Definition App It is an abbreviation for application, which means software capable of offering services through computers and phones. Anxiety Emotion characterised by panic and nervous behaviour. Hard file Tangible file for storing tangible documents. Soft files Computer files for storing electronic document or data. S curve A curve that relates the actual expenses of a project and the time limits. PC Portable computer 1. Project Initiation Documentation Fear and anxiety are amongst the common stress and mental health challenges that most students are facing in almost every part of the world. Many studies have found that mental health problems are common amongst students than it is amongst the general population. Students experience fear and anxiety in most cases when they face difficult situations. For the international students, the challenge of adjustment to the new learning environment is common. They find it difficult to accommodate the new friends, geographical changes, and home sickness, amongst others. Also, students face difficulties when they start to think they have made wrong course choices. Therefore, panic emerges amongst them during exams and other test circumstances. Additionally, loss of loved ones through death or separations, financial crises, and other predicaments present challenges that offset fear and anxiety amongst students. They always try to handle such situations on their own since some of the problems are deemed personal. However, they do not always win over the challenges since they lack the expertise and other ideas to manage such situations. Therefore, this project is a solution sources to such situations. With the intended outcome of this project, students will be able to communicate to experts who then help them to manage their conditions whilst keeping their privacy into consideration. The member of the project team established list of ideas form which the idea of their project was identified, collected, and prepared. 2. Project Description The project is about creating an app through which students will be able to communicate privately with a team of experts towards solving the challenges of mental health problems, especially fear and anxiety. The app is to be designed in manner that it provides a platform for communication through messages and video calls. It will also provide an interface through which students can post general inquiries about mental health problems and they discuss amongst themselves. Mental health problem is amongst the cause factors for school dropouts, alcohol and drug abuse, violence, and increased cases of boycotting classes in many schools. For these reasons, the intended project outcome is a solution to such challenges facing the institutions as a result of lack of appropriate ways of handling and managing such mental health problems. Through the success of this project, the institution can reduce the number of dropouts and violence amongst students. Also, the institution can benefit from improved performances amongst students as a result of stress free environment. 3. Project Governance The project is governed by a team of officials who play different roles as shown in the table below. Official Project responsibilities Project Manager i. Define and evaluate the strategies in place for the success of the project. ii. Seeks metrics of the project and compile the regular reports. iii. Organise and conduct project meetings. Functional Manager i. Determine the measures for completing every task of the project, and ii. Coordinate with the project manager about assignment of expertise in at different stages of project development. System Analyst i. Conduct analysis of the variables of the project in compliance with the intended outcome. System Designer i. Design the prototypes of the computer and phone application. System Developer i. Conducts installation of individual system in various departments. ii. Sets up database for the two versions of the application. iii. Incorporate the two versions into the main system server. iv. Centralise and integrate the main serve and the two versions of the intended app. System Tester i. Ensures that every system in every department is tested before further development. ii. SECTION 2 - PROJECT INTEGRATION Making appropriate reference to your project charter, address each section touching on each point. 1. Project methodology The project that is intended to produce a solution for mental health problems amongst students through dialogues with the expertise, is seeking to develop an application that can be installed on PCs and phones as well. This method of helping students manage their stressful situations employs an app method since it can be made portable and personalised by the intended users. The can access it anywhere and anytime. Therefore, it is the effective method of establishing constructive relationship between the intended users and the administration or team of experts. 2. Project life cycle Stage Key requirements for stage completion against client requirements and project objectives 1. Planning To accommodate the condition requirements by the intended users, the planning stage seeks to gather and utilise the required information according to the specifications. At this stage, relevant research would be conducted to support the planning of the project. 2. Analysis After planning of the project, analysis of the collected information and data are analysed to ensure that they are in line with the set objectives and the intended outcome. The analysis would require coordination amongst the stakeholders to ensure that the plan is set to accommodate the financial boundaries, as well as other variables. 3. Design The design of the intended app should follow the already analysed plan. The design should include the key objectives and time limits. At this stage, software designer is required to establish the design of the potential app. 4. Development and Implementation After designing the app, the plan and design is implemented and developed into the intended app. At this state, the skills and expertise of software developer are required. It is also at this stage where software and hardware are required for the development of the intended app. 5. Testing The developed app in the previous stage is then tested to ensure all the intents are included. The testing all identifies any available faults against reliability amongst other features. 6. Maintenance After the app has been tested and ensured for the intended purpose, it is then maintained to increase efficiency and other qualities as well. During the various stages of the project, there are a number of interdependencies and constraints that can impact the entire project. During planning, coordinated sources of ideas are required to ensure there is no vital aspect of the project that is left out. Therefore, members and other relevant informants should explore all possible areas required for the effective plan of the project. During the stages of developing the project, effecting implementation of the resources is also required. Proper financial and other variables management is also required. Some stages of the project also require skills and expertise. It is at these stages that care and keenness are required to ensure that the plan and development of the app are goal and objectives oriented. Failures in these two stages may result in time and financial mismanagement. It is also at this point where the system is vulnerable for malware attacks. Therefore, the developers should ensure that the software is secured and is free from such security threats. 3. Work environment Every project require positive work environment to ensure all the stages of the project are free from setbacks. Crating a positive work environment require clear communication. Good communication between the involved expertise and coordinators ensures resources as well as other requirements are available at the right time, and are utilised effectively. Therefore, creating a coordinated environment with a clear communication between the members and the relevant stakeholders is positively influential towards the set targets. The communication strategy should involve listening to everyone’s ideas to acquire as much positive contributions as possible. However, the project involves hiring a team of experts for the designing and development of the app. Therefore, it is imperative that the team hired and other members of the project team are coordinated effectively. This will ensure easy monitoring of every stage of the project. It will also ensure proper utilization of resources as well as anticipation of any possible challenges. Conflicts may arise at any stage of this project. Regular meetings where every individual is given a chance to address his or her views, which are then discussed amongst all member and relevant, will ensure that no one complains of any issue involved in the project. Assessing and evaluating the intents of the project presented to the project authority through project patron is essential for the approval of the project. The project is viewed as a potential solution to the challenges facing the institution and the entire organisation. Therefore, its approval will have approved the implementation of solution method to the mental health problems and the associated challenges. 4. Control activities Controlling and monitoring of the project will entail three different classes; project plan monitoring, project budget monitoring, and stage report monitoring. Monitoring the project plan involves the project milestone monitoring, which ensures all the intended paths of the outlined plan are followed according the set dates. As stated earlier in the project milestone, the tables will ensure all the required steps are followed. Project budget monitoring and control can be done using the S curve, which presents the actual budget utilisation against time and the intended or predicted spend. This will ensure expenses are within the set limits. The stages of development of the project will require stage report monitoring method. Therefore, the responsible personnel at each stage of the project should establish and maintain project logs and audits about the expenditure and other resource utilisation relative to the set objectives and time. These reports will ensure possible challenges are anticipated and intervention mechanisms are employed. 5. Project Records Managing the project records; the process of creating, directing, and controlling document flaws within a project; involves a mechanism of creating the documents, storing them, and retrieving them whenever required. Proper management of the project records starts with regular report in every stage of the project. Therefore, this level of managing records involves collection of reports from all the relevant stakeholders. The next step is to storage of the document. Storing project documents can be done through hard files or soft files. Soft filing of documents involves storing the information in a computed in an electronic format which can be retrieved whenever necessary. Updating the records involves acquiring new information about the development of the project, retrieving the stored files, and making the necessary changes about the progress of the project. Analysis is done by comparing the information about the progress of the project and the plans made before the project commenced. The reports submitted by the relevant individuals at each stage allow analysis of the necessary for the success of the project. Acknowledging and informing relevant stakeholders about the progress of the project will involve briefings through regular meetings and forwarding of the report analysis. 6. Finalisation activities The completion of the project is measured relative to all the intended procedures and steps for planning, designing, developing, implementing, testing, and maintenance of the applications.
