Utilizing Information technology in planning, directing and controlling Name Institution Date Introduction For close to two decades, information has been seen as an important asset alongside different variables of production. Taking after the development of business exercises, globalization, and quick changes in the associations' environment, information technology is considered as a vital component (Beadles, et al., 2005). This is to the degree that today it is considered an intense device in managing natural issues and difficulties and an apparatus that makes appropriate utilization of chances. In like manner, the foundation of a suitable information framework utilizing information technology for gathering, preparing and storing information is of basic significance. In spite of the fact that information technology and the utilization of computers have never been swapped for human basic leadership, their energy to help administrators or managers and employees to settle on the right choices utilizing precise information and accelerating undertakings can't be dismissed (Wren, et al., 2002). Numerous associations have understood the significance of information innovation and its effect on accelerating and exact execution of undertakings and expanding consumer loyalty, emotionally supportive networks, management’s basic leadership, and particularly the association's viability. Such mindfulness has brought on most associations to rapidly move towards the use of IT (Beadles, et al., 2005). This essay will justify how the use of information technology enhances productivity of employees and the organization resulting to increased business performance. Information Technology and Speed improvements Information technology helps the users to utilize apparatus like computers to perform diverse undertakings speedier and precisely. A computer is known to perform numerous capacities on the same time which should not be possible by people (Major, et al., 2007). This helps employees perform a given assignment on time and it even lessens pressure and push at work. Computers have applications which can store information systematically making it straightforward and arrange critical actualities. Another vital device is web or internet, which can be gotten at any place at any given time, so clients can without much of a stretch interface with each other and trade pertinent information (Major, et al., 2007). Associations can utilize web to communicate with their clients progressively and react to their necessities. For example, Apple Inc. uses the web to respond to client needs and incorporate customer needs in their production. Time is an essential element in both business and life, so information innovation speeds up the procedure of doing anything which spares both clients and associations time. This aspect in the long run leads not only to improved employee performance, but also to improved organizational performance and increased productivity (Major, et al., 2007). Information Technology and Improved Consistency and precision Even though data innovation is overseen by people, it will probably be more accurate than people. Clients are very much prepared on the most proficient method to utilize information innovation devices. For instance, an accountant will be prepared on the most proficient method to utilize bookkeeping programming like Quick-books to perform bookkeeping or accounting assignments (Major, et al., 2007). This accountant has formal learning on all bookkeeping techniques and they are also outfitted with IT information to help them do their bookkeeping undertakings by utilizing programming. The advantage in this is, the accountant has formal learning on the subject being referred to and everything they need is an IT device which makes all their work less demanding and exact. This therefore leads to increased productivity for both the organization and the employee (Major, et al., 2007). Data catch and processing using information technology This is the procedure of incorporating information. For instance, electronic business organizations like amazon.com use web treats or cookies to catch information around a client's purchases by means of their site. So for this situation, they utilize this information to recommend things to a client identified with their past requests through their site (Lengnick-Hall & Moritz, 2003). Additionally, google.com utilizes web treats or cookies to screen sites and substance we scan for on the web, and then they utilize that information to propose adverts custom-made basing on our hobbies. Numerous online organizations are utilizing web treats or cookies to catch information as a route on expanding their deals and enhance their administration since this information is utilized to tailor administrations basing on client’s needs. This therefore is in line with planning function of the organization (Beadles, et al., 2005). Data Processing refers to the whole process that involves data conversion, data analysis, data computing and data production, into information. In the wake of capturing data, the framework must re-sort out that data basing on what the association needs to utilize that data for (Usman, et al., 2012). For instance, when an e-trade site catches information about your past buys through their site, their framework can sort out that information on the basis of price, results of interest, classes of interest, time of procurement and so on, and this information will be utilized next time when a client does a reversal to that e-store to propose applicable items (Lengnick-Hall & Moritz, 2003). This is also in line with management tool of planning, which ensures that to achieve organizational objectives, necessary measures including proper pricing and proper product production must be put in place. Information Technology and organizing function One of the most important management functions is the organizing function. This is among the main four management functions (planning, organizing, directing and controlling) that were developed by French engineer, Henry Fayol in the last century (Lengnick-Hall & Moritz, 2003). Organizing involves grouping organizational activities to be done by specified people inorder to meet organizational set objectives. So as to be up to speed with current advancements and developments, administrators need to continually redesign themselves and be side by side with new technology. They utilize the Internet essentially to find out about new advancements and decide their significance to the association (Lengnick-Hall & Moritz, 2003). The manager can decide the expense of gaining these new advances, and assets. Managers can find out about the stock trade, significant acquisitions and mergers and a large group of other essential information. Additionally, through organizing managers are relied upon to slice costs brought about through duplication of exertion or effort, and additionally fit the exercises of all individuals from the association. An exceptionally compelling way this is done is through the use of cloud computing and by the production of a virtual association (Wren, et al., 2002). By use of cloud computing, information is properly stored on the Internet through a cloud administration supplier. This information can then be gotten later by individuals from the association with right login privileges (Usman, et al., 2012). Laborers are effectively ready to upgrade themselves through this strategy, rather than going through different reports and all the time, copy information which is tiresome. By the making of a virtual association, supervisors use information technology to connect individuals, resources and thoughts and are in this way, ready to share foundation and hazard and incredibly decrease idea to-money time through sharing (Usman, et al., 2012). Information Technology and planning function Planning refers to the procedure of building up objectives and building up a sensible strategy to accomplish these objectives. Keeping in mind the end goal to set objectives and targets for the association, the administrator requires applied aptitudes (Orlikowski & Barley, 2001). This implies that the manager needs to use his or her psychological capacities to think deliberately. Managers need an approach to picture the future, that is, they should have a representation of the condition of the world and have the capacity to make expectations about how their activities will transform it and have the capacity to settle on decisions that expand the utility and estimation of the accessible decisions. Thankfully, advancement in innovation has achieved what is known as computerized reasoning, which is the hypothesis and improvement of computer frameworks ready to perform errands that regularly require human knowledge (Usman, et al., 2012). By registering certain calculations into computerized reasoning frameworks, directors can much effortlessly break down information and see what the results of specific decisions may be and act as needs be. In addition, they can make figures that will lead to the attainment of objectives (Orlikowski & Barley, 2001). Administration or management information frameworks particularly the Executive Information Systems are a decent way of planning and it is done by supervisors as it gives top and center administration with quick and simple access to specific information about key variables that are basic to finishing a company's vital destinations. For example, Coca-Cola uses the web to analyze its next course of action, in relation to customers’ needs for purposes of meeting organizational objectives Once more, administrators use technology for example, email, that is transmission of messages and records through a computer system and telephony to convey the wide authoritative objectives and destinations to all levels of administration and to all laborers inside the association (Orlikowski & Barley, 2001). This improves on coordination and leads to increased output. Information technology and the controlling function Controlling as a function of management means the capacity of checking the exercises inside the association to ensure they are in accordance with authoritative objectives. Managers need to find out whether the actions of employees are in line with the objectives of the organization (Usman, et al., 2012). An organization’s success is defined with its capability to meet the objectives set. Supervisors get their information through email, or through the association's intranet. Such required data is then channeled through the different levels of administration for fitting activities and choices or actions to be taken. There is no more need of an organization to be reliant on manual procedures and a paper trail to screen staff. Once more, joint effort is one of the key parts of cloud computing in administration arranged organizations (Hussain, et al., 2007). Presently, employees would all be able to sign into a solitary project, chip away at a report in the meantime and send it along to the following step. These projects contain nitty gritty log-in information so directors can follow mistakes appropriately and right issues with more prominent precision (Orlikowski & Barley, 2001). To a great extent, supervisors can and may set up gadgets to keep an eye on their laborers. Yet it's moral and to some degree lawful ramifications, this is a successful strategy to control laborers, guaranteeing that they're not sitting without moving about, or as a danger to associations, taking and exchanging authoritative information to competitors (Orlikowski & Barley, 2001). Therefore, with the use of information technology, managers together with the employees can all work in common goal of the achievement of organizational objectives, which is a measure of success. Similarly, this increases on productivity of the organization (Beadles, et al., 2005). Information technology and directing function Directing as one of the management roles refers to the process of motivating, leading and communicating. For increased productivity, employees should be well motivated, well led and well communicated to. Employees should be encouraged to work towards the achievement of organizational goals through proper motivation; proper style of leadership and of great importance is the aspect of proper and effective communication (Hussain, et al., 2007). However, in as much as managers need to ensure there is increased productivity through proper employee motivation, leadership and communication, proper implementation of the directing function is challenging on the grounds that there is no one way to motivate, lead and communicate (Hussain, et al., 2007). To ensure that this form of work is made easy for managers and employees, the incorporation of information technology is paramount. Information technology helps employees to undertake their work easily and more efficiently hence acting as a form of motivation. Similarly, managers’ work is made easy to direct employees through proper leadership, proper communication and proper ways of motivating employees (Hussain, et al., 2007). Therefore, proper use of information technology ensures increased productivity through increased employee performance and effective management techniques by managers. Conclusion In conclusion, information technology frameworks shape a necessary piece of cutting edge associations and organizations and are intended to bolster administration exercises, specifically, better basic leadership. Administration has four unmistakable capacities and each requires support from information technology, and in addition information is required at three diverse levels of basic leadership and information technology framework needs to bolster every level (Wren, et al., 2002). Albeit, compelling utilization of information technology frameworks in administration basic leadership offers energy to directors and help association succeed, it is important understand that there is no major way directing and managing organizations can be done. At long last, it is conceivable to state while information technology have made awesome commitments to associations, administrators ought to understand what information technology is, and what information frameworks can and can't do. Today, understanding the part of information technology as data processor has on an association is urgent to maintaining a successful business. Therefore, technology in itself doesn’t lead to increased productivity in organization, but proper implementation of technology by both employee and managers does through increased efficiency.
