This report is about the project management of the hosting a conference for the University of South Australia. This conference will be an educational research conference for the enhanced project management techniques. In scenario of conducting such a huge event we need to place effective parapets for the better handling and managing this project. In this regard we will plan this conference in a much better way to make this project more successful in which all international research community will be coming to deliver and share more innovative knowledge and project management practices. 2. Introduction 2.1. Overview University of South Australia1 is among one of the most excellent educational institutions in the Australia. This university is having highly qualified and experience faculties that always desire to enhance the educational standards of the institute. In this scenario the management and administration of the university has decided to launch a new research conference in coming January 2011 (University of South Australia, 2010). The basic intention behind this research conference is to provide the students and teachers of university a greater exposure and place to share and communicate to world’s best research students and scholars. 2.2. Project Background The research is a more important part of all the fields of life and is taking more enhanced recognition and acceptance all through the world. All national and international universities and educational institutes are trying to take part and provide more enhanced opportunities to the students to become a part of international research community and have more enhance facilities to take a deep insight into new project management research and operational techniques (University of South Australia, 2010). The main intention of the management of the university is to offer a greater opportunity for the students and teachers for having a much closer look to international research community new knowledge and applicable techniques. 3. Project Scope University of South Australia is going to conduct a global research conference for a number of reasons. The central scope of hosting this research conference is to initiate a new project management trend inside the university and offer a more enhanced facility to students and teachers for participating in this newly established trend in University of South Australia. This project of hosting a research conference will catch the attention of researchers, students as well as global institutional staff all through the sphere. In this case of hosting this research conference we have established a lot of scope factors. For example the main intention behind this event is regarding the enhancing educational standards of university of South Australia. Then we are aimed toward the incorporating new ideas those will be carried-on in our educational institute. Then we are aimed to attract and bring new better faculty development and student invocation trends in the university. Another aim of hosting this conference is to introduce our university all through the world with highly professional behavior and research intentions. This conference will also offer them a better market support and will also facilitate us regarding attracting new talent and department faculty to join our huge educational environment (University of South Australia, 2010). 4. Project Objectives University of South Australia is a main national university in Australia for presenting effective education as well as skill development. In this regard University of South Australia is a famous educational institute in Australia intended for presenting improved plus up to date education to its scholars. In this regard, the University of South Australia is also facing extensive competition with all other global universities. In this regard University of South Australia administration has decided to initiate a new project for the educational and university scope enhancement all through the world. Here the plan of hosting a project management based research conference at the university is an innovative idea that has a lot of intentions and objectives at the back. Here I have tried to highlight some of the main objectives behind the establishment and hosting of this research conference at the university: (University of South Australia, 2010) Improving university research standards Introducing University of South Australia academic background Presenting contributions that University of South Australia has made previously Presenting outline to upcoming project management research and practices plans Attracting new university enrolment Initiating new degrees as well as courses Improving university credibility Getting novel research and project management based ideas Enhancing students enrolment as of local and worldwide regions Establishment of a better information and knowledge sharing standards Drawing attention of new university facility members This project management and planning report is about the effective management and handling of a one day conference. In this situation we are intended to successfully treat as well as handle the students and researchers coming from all through the world. Here one more central objective of this conference management is to carry out this event on exact time and date with living within resource and budget constraints. 5. Discussion 5.1. Deliverables In case of University of South Australia the project of hosting the research conference is having multiple types of project deliverables those are based on the Project Management approach. Some of the main deliverable those will be outcome in case of present project are outlined below: (Lockyer & Gordon, 1996) and (Kerzner, 2006) A Project Management Report/Plan Project budget plan Project Risk management report Project Contracts and monitoring plan 5.2. Budget of Project University of South Australia management and project management departmental facility has approved the total budget of 30000 Australian Dollor to manage this project. 5.3. Change Control In case of hosting the conference at university we need to effectively manage the any uncertain change the overall project scenario. Here we have to control the overall occurrence of change through some change control mechanism. Here we will implement a proper document change control mechanism that will be handled and managed through the overall project tasks and activities. In this scenario we will take the authorization from all university management and administration (Lock, 1996) and (Maylor, 2003). 5.5. Success/Failure criteria For the University of South Australia project for hosting a conference we need to fulfill all standards of the quality and performance. In this Scenario University of South Australia management has stated that they have project team have to complete the project with time and cost limits. In this situation we will state the success/accomplishment of the project if the event starts and ends on time as well as comply with all standards of quality and performance parameters (Kerzner, 2006). 6. Approach and methodology In case University of South Australia project for the hosting the conference event we will take the standard project management methodology for the overall handling and management of the event. Cost Resource University of South Australia management and project management departmental facility has approved the total budget of 30000 Australian Dollars to successfully manage this project. 7.3. Time Resource For this project we have got the overall time of the 26 weeks for possible project completion. Some of the main aspects and time planning areas are outlined in the report appendix in the form of the project work breakdown structure or WBS, in form of Gantt chart. Appendix also holds the project network diagram and critical path analysis for the enhanced project tracking and performance. 8. Project Risks In this section I will talk about the some of the main risk areas and aspects in the project. Here I will outline some of the main facts that can occur because of those a lot of projects are not able to be completed or be failed since of due to cost overruns, not fulfilling the time line or some other political or organizational aspects. In this situation we require an effectual policy as well as process intended for planning as well as setting up an efficient risk management arrangement. In scenario of organizing a project in an enhanced way we require to arrange it in the course of effective risk handling and management (SUMNER, 2000). 8.1. Risk Management Methodology In case of University of South Australia’s project for the hosting of conference we have setup efficient risk handling and management methodologies that offer improved support as well as potential to assess as well as mitigate the possible risks regarding our project. Conclusion In this report I have presented deep analysis of some of the main aspects of the project handling and management of the project of hosting a conference the University of South Australia. In this regard I have outlined some of the important areas and aspects for the better handling and management of the University of South Australia’s research conference for potential enhancement of the university credibility for the better projects handling controlling and management. 10.
