The company was established on the 18th day of May 2004. It was formed from a joint venture by Qatar Petroleum which owns 60% of GDI and Japan Drilling company Limited which controls 40% of the company (Gulf drilling international 2013 ). The company has 12 drilling rigs and has over 1080 employees. The drilling fleet is comprised of 6 offshore jack up drilling rigs, 1 accommodation jack up and 6 land rigs (Gulf drilling international 2013). I was attached in the organization for 4 weeks in the human resource and finance departments. The following is the internship report. 2.0 Organizational Objectives and Mission Vision The Gulf Drilling International limited aims at upholding excellence in its process of being a global provider of standards drilling services (Gulf drilling international 2013). Mission Safety in work Efficiency in services delivery, Promote state of art technologies which are coupled with low costs, Uphold continuous growth in performance Enhance value to the company’s process (Gulf drilling international 2013). Company’s Objectives The objectives of the company are to enhance safety in the work processes and encourage efficiency associated with it, embrace hi-tech in the drilling processes. The company also aims at growing its performance and adding value to its process and products Services Offered By The Company The company offers offshore and onshore drilling services. 3.0 Internship position Description The internship position was titled ‘summer internship trainee’. My position was not appropriately described but was to work under the guidelines and supervision of my internship supervisor in the human resource and finance departments. 4.0 Training Completed The entire duration of the internship was 4 weeks. I spent the first 3 weeks of the period in the Human Resource department and the last week in the finance department. My job title was ‘summer internship trainee’. The following section will give a detailed weekly report which will indicate the training completed. 4.1 Week 1 The main human resource practice which I learnt during my first week of internship was staffing. Over my first week of internship, I interviewed various people through Skype and via physical interviews. Interviews are an important practice in the staffing process which is one of the key roles of the human resource management department. Physical interviews have been the norm in many staffing processes over time but the embracing of technology in human resource management has seen the adoption of technologies such as skype which allow for virtual interviews (Harris & Foster,2010). Training on this practice is important in my career since it equips me with the vital experience and knowledge in staffing. Key to the staffing process is the filling of the necessary documents required in the hiring of new employees. I was also trained in the filing of these forms. I was also trained on the application for visas, hotels and for the new employees from overseas. This is a key practice in international human resource management IHRM. This training made me have more knowledge and experience in international human resource management which is a very important practice influencing the success of an organization in the modern globalized world. I was also involved in various levels of interactions with agencies which provide skilled and highly experienced employees for long or short-terms. This exercise was vital in equipping me with outsourcing processes which are very common in the modern day organizational management. I was also inducted into the company during my first week. Firstly, I was inducted on safety policies and procedures in the company. Safety is an important element in the operation of any organization. This is especially crucial for an organization like GDI which deals with oil and associated products which are of great safety concern. The safety induction gave me vital knowledge on how to handle myself and other operations during my stay. I was also inducted on information technology policies in the company which enabled me to exploit the IT services available in the company within the allowable limits. Lastly, I was inducted on the organization’s procedures which enabled me to fully understand the process and procedures in the organization. It also enabled me to relate well with other departments in the organization which is crucial for the effective HRM (Society For Human Resource Management, 2008). I was also involved in the process of application of new, renewing and transfer of residence in addition to getting exit permission. This training gave me a deeper insight into the management of human resource with respect to the practices associated with employee benefits. Housing services are part of the broader employee benefits practice of the organization. In addition to this, I was also involved in the booking of the chopper seats of the offshore rigs for guests and staffs in the company. This training allowed me to acknowledge that human resource management is about providing the most appropriate working conditions to the employees in addition to other tasks. The training on this task made me to appreciate the importance of planning in human resource management. Lastly, I was trained on the use of technology in human resource management. Technology is an significant component in the contemporary human resource management in additional to other process in an organization. I was trained on ERP (ORACLE) system which is used in company. The training on the ERP (ORACLE) system made me appreciate the usefulness and importance of IT in the running of the contemporary organizations. 4.2 Week 2 During the second week, I was trained on the ORACLE (ERP) database. As pointed out in week 1’s report, the integration of technology human resource management is very important in influencing the efficiency of the department in meeting its goals and objectives. The ORACLE database system contains crucial data on the human resources and is linked with other systems which are used by other departments in the organizations. The training on the system was crucial in enabling me to not only appreciate the importance of technology and human resource management but to be able to use it appropriately with a objective of achieving the objectives of HRM. I was also briefed on the interaction of the company with government agencies in a move aimed at equipping me with the experience on how external factors influence organizational operations. The training on this aspect enabled me to acknowledge the influence of the government in the operations of any organization. Via this training, I was able to know how to deal with the government officials with an aim of fostering mutual benefits for both the organization and the government. I was also involved in various interactions of the company with various government ministries for instance MOI, MOM, SCH, MOL, Qatar chamber and embassies. This training made me to gain the necessary PR skills that are vital in improving performance of an organization. Lastly, I was also involved in the processing of new residence requests, permissions to exit, renewal of residences and transferring requests. As pointed out in week one activities, housing services are part of the broader human resource benefits scheme. The physical training on this equipped me with the knowledge to deal with employees in a healthy manner. 4.3 Week 3 During the 3rd week I was attached in the financial department. The area in which I was trained first was on financial guidelines and procedures. Human resource and financial management involves the establishment and enforcement of specific policies and procedures which enable an organization to make the most out of their human resources. The human resource management policies and procedures must be in line with the legal standards outlined by the labor law. The analysis of the policies and procedure made me appreciate the importance of HR policies and procedures. I was also trained on the manual of financial establishments. The training on this aspect enables me to know the importance of a healthy relationship between the human resource management department and other departments in the organization. My interaction with the financial authorities gave me a deeper insight into the procedures and policies to consider when dealing with them. I was also involved in the analysis of financial reports and ratios, and also in the preparation of monthly financial statements. The analyzing of reports and other financial documents made me to gain practical knowledge in preparing in analyzing the finical records of an organization and outlining their significance to the organization. Other financial statements which I prepared included invoices for GDI clients such as operating, move invoices, leveling or site operation. This provided me with physical knowledge and experience in preparing invoices which are very important in the management of the daily finances of an organization in addition to upholding transparency. I was also trained on the procedures of acquiring loans from financial institution in addition to the tools of dealing with interest rates. This equipped me with vital knowledge in finance which is a vital operation in financial management. Lastly, I was involved in the inputting of receipts in ORACLE database system. This made me to gain practical experience of using technology in finance management. 4.4 Week 4 In my fourth week of internship, I was trained in the payable processes in the organization with respect to other operations in the organization such as the purchase and inventory elements. The training on these procedures enabled me to gain practical knowledge in inventory management which is crucial to any management. I was also trained in payable aging and tackling of non compliance. Thirdly, I was trained in invoicing whereby I acquitted myself with the necessary constraints and arrangements. The training on invoicing process equipped me with the practical knowledge of preparing invoices. I was also trained on the reconciliation of account receivables and closing procedures. Through this training, I was able to acknowledge the importance of the two processes in financial management. The training on this process gave me vital experience and knowledge in this field. Lastly, I was trained on how to measure performance by use of key performance indicator (KPI) outline and the procedure of budgeting in the organization. This gave me practical knowledge and experience in tracking the performance of an organization through the analysis of important performance indicators. The training on the budgeting process gave me experience in managing the finances of big organizations such as GDI. 5.0 Intern contribution to the Organization 5.1 Week 1 During the first week, I was involved in various interviews for staffing process via physical forums and over virtual forums for instance skype. I met with Interpeople, a human resource agency dealing with human resource management solutions. I also explained the contents of procedures, offers and contracts, to non-English speaking new employees. Lastly, I assisted one of the employees to feed data on the ORACLE (ERP). 5.2 Week 2 Courtesy of the international human resource management practices, I was involved in the application for work and business visas, renewing residences and exit permits through Hukoomi. I also assisted employees in the purchasing of airline tickets for offshore, onshore, and office employees through (ORACLE) ERP database. Lastly, I assisted employees with the checking of hotel booking receipts by recalculating them since the data is important and sensitive. 5.3 Week 3 In the third week, I assisted employees to insert invoices into the oracle database system. I also analyzed the monthly financial statements to assess the company’s financial situation and also recalculated the income statement and the company’s balance sheet. I also assisted an employee to analyse the results of a survey conducted to evaluate performance and job satisfaction on the company’s employees. 5.4 Week 4 In the last week, I was involved in the preparation of invoices and feeding them into the ERP system. I also fed the organizations expenses on the database after which I presented my experience to the relevant authorities in the company on completion of my internship. 6.0 Academic Training and Learning 6.1 Week 1 On my first week in training, I was able to gain a lot of worthy experience on recruitment and administration. Through the rigorous recruitment exercise which I was involved in, I am now able to arrange for both virtual and physical interviews with much ease. I have also come to appreciate and use IT (ORACLE) in various applications. Lastly, I also acknowledged the importance of teamwork and specifically so, the importance of my contribution in the dealt operations of the company. 6.2 Week 2 On the second week of attachment, I gained substantial experience on the use of ERP software in carrying out various applications in the organization. I also learnt how to deal with government departments after working in the government affairs departments. I learned the process of completing current and potential employee’s transactions. To illustrate this, I was also involved in the application for new visa or renewing old visa, transferring and renewing residences, exit permits, and to interact with various government ministries such as MOI, MOL, MOM Qatar chamber, SCH, and embassies.From this, I came to appreciate that good interpersonal skills are important in enabling an individual achieve his or her objectives and in the end enabling the organization achieve its own objectives. 6.3 Week 3 In the third week, I was working in the finance department where I learnt crucial information on the importance of various financial metrics in the running of an organization such as the leverage ratio which should never exceed 2.I also got acquitted with the invoicing process and the use of the ORACLE database systems in financial management. In addition to this, I learnt how to prepare and analyze various financial statements, various sources of financing and how to deal with interties rates. 6.4 Week 4 In my last week in the finance department, I was able to differentiate between the metrics involved in various financial statements. Through the analysis of key performance indicators (KPI), I was able to evaluate the performance of key departments in the organization after which assessed whether the company’s goals were being achieved or not. I was also able to evaluate the company’s revenue from the finical records. Most of all, I have learnt that it is important to stand up and take a rightful position in the management of organizations through the use of educational knowledge with the practical knowledge through the upholding of appropriate and strategic practices in the work place. 7.0 Usefulness and merit of the internship training: The internship period was very important to my education. I was able to get practical knowledge in human resource management and financial management. The internship period gave me a chance to gain vital experience in crucial processes in human resource management and financial management such as staffing and recruitment, employee benefits management, inventory systems and budgetary controls. The internship gave me a chance to apply the theoretical knowledge which I had learnt in school. 8.0 Assessment of the organization’s work environment: The work environment in GDI was great. The employees in the company upheld teamwork which enable me to learn a lot from them (Stevens & Campion,1994). The organization also had good teaching methods in association to the high level of organization which made working in the organization enjoyable. Lastly, my supervisor was supportive and was ready to help me with anything which was not clear to me. However, the environment in the organization was very busy which gave me problems in my first days in the organization. 9.0 Suggestion for program improvement The internship program is great. However, I would suggest that the school consider increasing the time allocated for the program. This is because the current 4 weeks are too short for a student to get practical knowledge which is required of them. 10.0 Conclusion In conclusion, the internship in GDI was very instrumental in equipping me with practical experience and knowledge in human resource and financial management. This report has given a full account of what I did during the 4 weeks period. I was attached to the human resource management department for 2 weeks and the finance department for the other 2 weeks.
