Positive Emphasis AFFILIATION: Positive Emphasis Communication is essential for human beings to live in this world and to socialize with others. It has been said that man is a social animal which means a human being cannot live alone. We human beings live in families and interact with each other and those who are good at transferring their ideas well to others possess good communication skills. In this paper a very effective communication way “Positive Emphasis” has been described. Positive emphasis means focusing on the positive aspect of the situation and leaving behind the negative aspects. In this paper the importance of positive informative messages has been explained in order to provide information about the usage and benefits of positive emphasis in daily life and in professional life. Readers and listeners are more interested towards positive informative messages rather than negative non-informative messages. Those who know how to influence the audience use positive emphasis in their writing and speech. Positive emphasis means concentrating on positive rather than negative traits of a situation. Many experts believed that the usage of positive emphases in writing and in speech creates positive impact on readers and listeners, for example instead of saying the bottle is half empty one should use positive emphasis by saying that the bottle is half full(Park, & Kim, 2009). Positive informative messages are very useful to transfer information to others more accurately because people can easily understand positive aspects of the situation. By learning how to avoid negative emphasis and the use of positive emphasis one can become a good communicator. Usage of positive emphasis in daily life is very beneficial because it gives more positive response from the audience. Usage of positive response can be done by avoiding negative words and words with negative connotation. Positive informative messages contain positive verb and positive information, positive emphasis focus on what audience can do rather than cannot do. In positive informative messages the speaker or writer should justify negative information by explaining the reasons or linking the benefit of negative information to a reader. The way of expression is totally dependent on the speaker or writer; if the use of negative information is necessary then it can be used in the middle of the message in succinct manner so that it does not reduce the interest of the audience (Shamaskin, Mikels, & Reed, 2010). Positive Emphasis in Written Communication Positive emphasis in writing is crucial not only to maintain interest and create variety but also to facilitate readers to easily gather important points from the text. In writing readers mostly notice subject of the sentence and associated verb in an independent clause, so that by using positive verb in the text one can easily transfer accurate information to the readers. Snappy and short sentences are more expressive and emphatic but over usage of these sentences lose their power to persuade readers (Sides, Lipsitz, & Grossman, 2009). In order to transfer information correctly to the readers it is important to use short positive sentences. Short positive emphasis creates more impact on readers mind and helps them to remember the main context of the message. Positive Emphasis in Oral Communication Positive emphasis in speaking depends on the main idea of the topic and great amount of conviction. The essence of positive emphasis in verbal communication is to speak with great confidence and show conviction in words and ideas. In verbal communication audience notices the confidence of the speaker on his/her message and if speaker is confidence about what he/she is saying then the audience easily believe on the message (Kock, et. al 2009). In order to influence the audience it is important to use positive informative messages and the only way to do this is to make sure that you are comfortable and relaxed so that you can transfer accurate information to your listeners without skipping important details. A good communicator always starts his/her speech with positive informative message because positive emphasis facilitates the speaker to capture listeners’ attention easily(Park, & Kim, 2009). The essence of positive emphasis is its ability to glean listeners’ attention and create positive impact on their minds. The message will be more successful if it focuses on positive emphasis rather than negative, simply because majority of people respond to positive ideas more favorably than negative once. Those words which reflect positive meaning are likely to produce more impact and gather more attention of the audience. Positive informative messages persuade the audience and create goodwill whereas negative messages usually generate unfavorable reactions and resistance (Sides, Lipsitz, & Grossman, 2009). One should be very careful while using negative emphasis because it has the potential to divert audience’s attention from the main context of the message. Negative words like do not, refuse, cannot, loss, failure etc. can divert audience attention and sometimes does not considered good in speech. Positive Emphasis in daily Life Routine messages and requests should be expressed by using positive emphasis. Routine requests consist of three parts, main idea or essence of the message, necessary details of the message, and request for an action. In verbal requests tone of the speaker should be humble and persuasive so that he/she can get the positive response. When asking any question it is useful to ask most important question first by using positive emphasis because it influence the listener (Shamaskin, Mikels, & Reed, 2010). A positive informative message starts with the main idea because the main idea prepares audience about the topic of the message, after main idea a positive message provides necessary details and explanations to its audience and ends with gracious and appreciative clause. According to communication experts there are six basic types of positive informative messages and each type depends on the situation. The types are: Answering requests for an action or information, granting requests and claims, providing references and recommendation, developing short informative messages, announcing good news, and promoting goodwill. By selecting the best type one can effectively communicate with others (Sides, Lipsitz, & Grossman, 2009). In today’s world people are bombarded with lot of information and junk messages and cannot pay proper attention to the necessary information, therefore positive emphasis in communication is very effective to transfer accurate information to the desired audience. Short informative messages are preferred by audience because they are easy to understand and have more influencing ability (Park, & Kim, 2009). By using short informative messages one can easily get the desired response from the audience because of their influencing ability. Positive Emphasis in Business Communication Unlike daily routine communication business communication is very formal but the importance of positive emphasis is same in business communication. In business communication people prefer to listen and read positive informative messages because these messages have good impact on listeners and readers. In today’s informative world, business organizations are confronted with hundreds or thousands of messages and emails daily (Kock, et. al 2009). In organizations people send, receive and process many messages and emails on daily basis. An email or message written positively catches reader’s attention more easily due to its positive nature, and people read positive emails and messages with more interest. Effective communication is lot more than just exchanging information and one of the ways to effectively communicate with others is the usage of positive emphasis in business communication. Effective informative messages can improve relationships between a manager and his subordinates or a business with its clients. In short we can say that positive emphasis has positive impact on developing trust and relationship in business organizations (Zeffane, Tipu, & Ryan, 2011). Positive informative messages increase the effectiveness of business communication and help to get proper attention from readers or listeners. Positive emphasis depends on set of skills including persuasive ability, nonverbal communication, stress management ability, and ability to effectively deliver the message (Shamaskin, Mikels, & Reed, 2010. In a positive message there are more chances of getting positive results from the audience because positive messages are appreciated by majority of people. In business communication positive information messages are the best way to effectively communicate with others. By using positive informative messages bad news can be delivered more safely without directly hurting the other party. In organizational world ups and down are the part lifecycle and with the help of positive emphasis the effects of bad news can be reduced (Zeffane, Tipu, & Ryan, 2011). To deliver a bad new is difficult for all but positive informative messages helps to deliver any unpleasant news. Positive messages are easy to write because they focus on the positive aspect of the situation. Message sender should use positive courteous words in his/her message with a desired request of action from the receiver in order to get the positive response from the receiver. In professional world those people are successful who know how to communicate with others and how to get positive response from others. It is not necessary that every message gets positive response but there are more chances of getting positive response by using positive informative messages. With the help of positive emphasis many business world problems can be solved because positive messages build trust between message sender and receiver (Shamaskin, Mikels, & Reed, 2010). In business communication each and every word of the message has great impact on the reader so it is important to avoid the usage of negative words in business communication. Negative words reduce reader’s attention and sometimes create misunderstanding while positive informative messages successfully catch reader’s attention and deliver the right information to the readers. Therefore business experts believed that the usage of positive informative words in business communication is very effective and useful (Kock, et. al 2009). Organizing Informative Positive Messages Informative positive messages are very effective and useful in our daily communication and in business communication but one should know how to organize an informative positive message. Informative positive message starts with the most important information or good news. Positive information captures readers’ attention and develops their interest in the message. After providing positive information it is important to give details about the main topic so that readers can get more useful information and clarification about the main topic. If there is any negative information that is important to share then it should be presented well with proper words, try to avoid ambiguous words because they puzzle reader’s mind. Most informative messages explain benefits and these banefits develops readers’ interest. A positive information message ends with courteous words and creates positive impact on readers (Kock, et. al 2009). The use of positive informative messages is beneficial in daily and business life because they develop trust and helps to build strong relationship between message sender and receiver. Positive emphasis is one of the best communicative ways that transfer information more accurately to the readers or listeners (Zeffane, Tipu, & Ryan, 2011). In this paper the importance of positive emphasis in daily communication, business communication, oral communication, and written communication has been described and the usage and organization or positive informative messages has also been explained in this paper.
